This position primarily focuses on providing high-level administrative and scheduling support to senior executives. In addition, the role extends to supporting foreign employees in their onboarding and integration in Taiwan, in collaboration with HR and other relevant departments. We are looking for a reliable, resourceful, and detail-oriented individual who thrives in a dynamic environment and is capable of managing confidential matters with professionalism.

Responsibilities

  • Provide assistance to senior management through the completion of diversified secretarial duties and administrative activities
  • Schedule/coordinate appointment, meetings and conferences
  • Assist in meeting minutes, business correspondence, presentations preparation and management report generation
  • Manage proper communication internally and externally
  • Collaborate with HR and relevant departments to support foreign employees in facilitating the relocation process, ensuring smooth integration, and addressing any logistical, administrative, or personal needs that arise during their assignment. 
  • Serve as a communication bridge between foreign employees and internal teams for administrative matters
  • Preparing bilingual or multilingual administrative documents
  • Contribute to the optimization of workflows and documentation related to overseas staff support, ensuring long-term sustainability.
  • Ad hoc assignments as directed by Executive

 

Qualifications

  • Minimum of 3-year working experience with performing administrative duties and providing support to management level positions
  • Good command of both written and spoken Japanese is a strong plus
  • Strong interpersonal, communication, and coordination skills, especially in cross-departmental collaboration
  • Ability to manage cross-functional tasks independently and proactively
  • Bachelor's degree or above
  • High degree of professionalism, integrity, and confidentiality
  • Approachable, detail-oriented, open-minded and is keen on continuous learning
  • Willingness to take on flexible tasks such as accompanying staff to administrative appointments.
  • Proficiency in Microsoft Office (Excel, PowerPoint, Word, etc.)
